Connect before creating a draft
Open Outreach - Connections as owner/admin and connect a mailbox, SMS provider, QCall account or WhatsApp Business account. Set per-connection rolling daily/hourly limits. Defaults are 100/day and 20/hour; maxima 10,000/day and 2,000/hour. Limits apply across campaigns sharing the connection, including WhatsApp AI replies. Private credentials are encrypted per workspace and are not returned to the browser.
Campaign or sequence
A Campaign sends one step once. A Sequence follows 1-20 steps on the same channel with 0-720 hours waiting before each step. Choose a CRM object and optionally a saved smart list. Source audience must contain at most 500 records; narrow the list before creating the draft. Financial objects cannot be audiences.
Email requires subject and message. SMS requires message or template variables. Voice requires an available QCall assistant and dialer. WhatsApp requires an approved template, matching language and text body parameters. Use {{record.data.name}} and other record context expressions for personalization; check actual field keys. Mixed-channel sequences are not available.
Review and launch deliberately
Save the draft, open the audience review and inspect eligible count, sample recipients, skipped reasons and first step. Every contact needs Marketing consent=true plus a valid email or international phone with leading +country code. Duplicate addresses and channel suppressions are skipped. Add a consent checkbox to a custom contact object when needed.
An administrator confirms launch against the saved version and reviewed audience digest. If the draft or audience changed, review again. Verified/enabled connection and current provider choices/templates are required. Launch performs real sends/calls asynchronously; connecting, parsing cURL and reviewing do not. The launched steps/audience are immutable. Duplicate into a new draft to change them; newly matching smart-list contacts are not silently enrolled.
Monitor and control follow-ups
Use campaign detail and Activity to inspect enrollments, execution errors and recent provider activity. Accepted means provider acceptance, not confirmed delivery. WhatsApp signed receipts can mark delivered/read. Email/SMS/voice do not have full delivery/open/click/bounce analytics. Unknown means acceptance was ambiguous; check the provider before making another attempt. Durable delivery reservations prevent automatic ambiguous resend.
Pause/resume controls future steps; cancel stops unfinished executions. Stop a contact to end that campaign’s follow-ups. Suppressions permanently blocks a normalized recipient for this workspace/channel and stops active sequences on that channel. There is no suppression-removal control in this release. Email unsubscribe and WhatsApp STOP also suppress. Matching email replies and WhatsApp incoming text stop remaining follow-ups; SMS and voice reply tracking are not implemented.
